Position overview

The Deputy Vice-Chancellor Operations’ portfolio are seeking an energetic, capable and level-headed administrator with an excellent knowledge of Massey processes and systems, to work at the Wellington campus in a full-time role.

The successful applicant will love working in a diverse team, will thrive on challenges, and will be flexible with a strong client service focus. They will also have excellent organisational and communication skills and makes the most out of every minute of the day. They should excel under pressure, enjoy multi-tasking and be able to meet tight deadlines.

The successful applicant will need to be able to offer good administrative support the Campus Operations team in Wellington and the wider portfolio teams.

Job description

Purpose statement

This role will provide administration support to managers and teams in the Deputy Vice-Chancellor Operations (DVCO) portfolio, with particular responsibility for the teams and activities based at the Wellington campus.

Responsible to

Deputy Registrar - Operations

Key accountabilities

• Develop and maintain efficient and secure office and administration procedures
• Manage physical resources and infrastructure (e.g. furniture, equipment, parking, building, telecommunications and IT as required)
• Organise and administratively support meetings and events
• Travel booking for DVCO staff and teams
• Assist with financial activities (process payments, credit payment processing, coding, reimbursement etc)
• Meeting co-ordination and minutes as required
• Support for HR processes (induction, documentation, filing etc)
• General administrative support

Person specification

Experience

• Proven experience working as part of a highly motivated team and gaining the respect of peers and stakeholders
• Experience providing timely and effective administrative assistance to a highly motivated team
• Proven track record of managing budgetary requirements and reporting on financial position
• Have experience in administrative processes in a medium to large organisation
• Knowledge of Massey University systems and processes
