Position overview

In this full-time permanent Enterprise Business Analyst position, you will act as trusted expert advisor to;

  • engage in enterprise wide strategic thought leadership, innovation and support,
  • collaborate, create and evaluate the operational, technical and economic feasibility of solutions to determine the best approach,
  • champion continuous process improvements, and closely work with stakeholders to assess the effectiveness of implemented changes (benefits realisation),
  • coach and support Business Analysts and projects teams to ensure they understand the business drivers for specific initiatives, the value expected from the initiatives, and that end products meet the desired objectives.

Job description

Purpose statement

The Enterprise Business Analyst:
- focuses on understanding the needs of the University as a whole
- has strong relationships with all levels of the university community
- performs strategic problem and opportunity identification
- conducts gap analysis and feasibility studies; and
- drives solutions within the business

The Enterprise Business Analyst is a key strategic business partner who ensures that business direction and needs are understood and innovative solutions are proposed and implemented. They act as the primary entry point into the IBISS unit for the business.

They educate the business on what is possible, and propose solutions that will convert strategic goals into valuable change initiatives and enable desired organisational change. They also employ transformational practices to bring about value-based decision making and project management practices. They ensure that all initiatives are consistent with the University’s strategic direction as agreed with the ISSC Governance Board and ISSC Reference Group.

The Enterprise Business Analyst plays a key part in ensuring that all initiatives are appropriately scoped, designed and accompanied by a business case where needed, prior to them progressing through the IBISS lifecycle. In doing so, they perform due diligence during the development of ideas and initiatives including competitive analysis, problem and opportunity analysis, experimentation, creative brainstorming, and early complexity assessment.

In designing solutions, this role will also work through the Business Analysts to ensure that business needs are translated into a structured set of requirements by defining the user requirements, and business processes, and applying structured methodologies and tools to provide solutions. This role will also engage with the Business Analysts to identify business improvement opportunities in new releases from software suppliers.

Key accountabilities

Relationship Management/Strategic Engagement
• Serve as a trusted expert advisor for analysis services, which may range from informal advice to formal presentations to all levels of leadership.
• Build a professional relationship with key stakeholders through planned engagement to understand their requirements (from vision and strategy to operations), monitor user satisfaction, and identify and highlight any common initiatives in place, underway or planned across other business groups that need to be considered.
• Engage in enterprise wide strategic thought leadership, innovation and support to assist both the IBISS unit and the University in assessing business optimisation opportunities leveraging technology investments.
• Participate in university business strategy sessions and lead/facilitate the business management teams through problem analysis, alternative analysis, and opportunity analysis. 
• Use strategic thinking and judgement to identify and develop business solutions that meet the business and enterprise needs, deliver on their core objectives and engineer change in the business.
• Provide consultancy and advice to business partners to help address the business problem/issue, this would include collaborating with stakeholders to explore all possible solution angles, and leading creativity sessions to ensure the business pursues the most innovative solutions. 
• Facilitate the elicitation, analysis and management of business requirements and business functional requirements that achieve changes to business processes, policies, information and information systems for highly complex and/or enterprise business problems.
• Conduct competitive analysis (across the university sector) to understand the environment, industry, and market trends.

Solution identification, collaboration and communication
• Evaluate the operational, technical and economic feasibility of solutions to determine the best approach. 
• Create relevant artefacts, such as solution options and recommendations, high level estimates, technical advice or input into an existing business project or creation of project initiation documentation, impact assessments, and high-quality business cases that lead to implementation.
• Collaborate in the planning, design, development and deployment of new applications, and enhancements to existing applications.
• Liaise with software vendors to distil business impacts/opportunities from planned software upgrades through translation and production of functional specifications for application solutions.
• Lead requirements design and analysis to influence construction of specific complex solutions through scoping documents, implementation strategy and plans, definition of success criterion and risk assessments.
• In designing solutions work through the Business Analysts to ensure that business needs are translated into a structured set of requirements by defining the user requirements, and business processes, and applying structured methodologies and tools to provide solutions. 
• Understand complex problems and develop practical solutions to them.
• Identify communications requirements and contribute to the development and execution of communication plans; support changes to the technology, processes and people impacts to the solutions.
• Provide timely and accurate access to complex data, distribute reports as needed and present/explain results to business areas and leaders supported. Work with trainers to develop training programs that target problem areas.

Continuous Improvement
• Champion continuous improvement practice to internal customers and stakeholders.
• Work with business stakeholders to assess the effectiveness of implemented changes (benefits realisation).
• Review and analyse the effectiveness and efficiency of existing applications and develop strategies for improving or further leveraging these applications.
• Prepare and deliver reports, recommendations, or alternatives that address existing and potential trouble areas in the applications for the business. 
• Provide input/feedback to improve business practices and systems across Massey University.
• Understands industry trends in business analysis and technology-enabled business practices and utilises knowledge to shape solutions and practices.

Coaching and other accountabilities
• Coach and support other Business Analysts and actively contribute to the improvement of business analysis practice and processes.
• Coach project teams to ensure they understand the business drivers for specific initiatives, the value expected from the initiatives, and that end products meet the desired objectives.

Person specification

Qualifications

A tertiary qualification in Information Science, Computer Science or equivalent

Experience

• Experience in building and maintaining senior and varied stakeholder relationships and effective networks, across large organisations. 
• Mature influencing skills and ability to collaborate with others
• Experience in facilitating workshops with senior stakeholders and users
• In-depth experience in achieving business outcomes through leveraging ICT solutions
• Excellent verbal and written communication skills including customer engagement
• Demonstrable business acumen
• Extensive experience in building and maintaining professional relationships
• Proven experience managing scope of work and stakeholder expectations
• Ability to lead and deliver to the expected quality, cost, risks and scope agreed with stakeholders
• Proven experience in analysing complex systems and processes.
• Knowledge of IT systems as they relate to the University context, and in techniques and procedures for testing software.
• Extensive experience using business analysis tools, techniques and methodologies
• Experience in selecting appropriate tools to capture customer needs
• Ability to proactively identify risks and issues
• Proven experience in documenting changes appropriately to grow the institutional knowledge base
• Knowledge of IT methodologies
