My client is a very successful company that supplies Cash Handling and Automation machinery, to all the industries of New Zealand that handle cash - banking and finance, large retail, vending, gaming etc. (ATM / TCR, Cash Counting, Cash Recycling, Self Service Machines etc). They are true leaders in their industry, and with a market share of over 80% they have been chosen as the number one supplier by their customers.

They are currently seeking to appoint a very switched-on person to support the after sales process. In this role you will be responsible for the process from when the sales team has done their bit and the sales order has already been placed into the system.  It will be your role to ensure that the machines that are needed for each project are delivered to site ready to be installed on the agreed date.

You will coordinate with the operations team to get the order ready for delivery. Some of these orders can be small and can be turned around in days, with stock that is already in the DC, but large projects will require planning and the machines will need to be ordered in from overseas.

You will manage the logistics part of this and will be responsible for the order activities that will include, checking the allocation of stock in  New Zealand against the current and forecasted orders, placing the orders for the machines, liaising with the overseas factory, fulfilling the shipping process, (ensuring all shipping and customers clearance documentation is fulfilled), and communicating to your internal team during this process to ensure at the agreed delivery dates are accurate and invoicing can take place. You will take care of all the processes of product supply through to delivery of the machines to the customer site, ready to be installed.

You will also be managing the contract database. This means that you will be creating maintenance contracts, collecting the detail need for the authorisation of these contracts and the associated billing activity. Following the product installations, it will be your role to manage the contract database, driving the sales team to talk to their customers around contract administration and contract renewals.  You will also set up new customers and coordinate proactive payment activity to ensure there are no delays with new installation.

It would be really good to find a person who has Contract Administration experience.

This role will have you communicating with all departments of the business, both in New Zealand and overseas. You need to be very process driven and able to work autonomously but being able to build effective relationships across every department.

 You will also complete a range of reporting and administration processes including providing financial and commercial information, including sales figures and order backlogs.

Skills and Attributes desired:

  • Excellent level of communication, verbal, written interpersonal and numerical skills
  • Supply chain knowledge and experience (purchasing, shipping admin and processes, inventory)
  • Solid project management skills in the coordination of both internal and external resources
  • Contract administration experience
  • Confident computing skills, including good Excel skills
  • Experience with CRM and ERP systems (Orders to cash processes)
  • Able to problem solve, and react to issues and resolve them positively
  • Detail conscious, process driven with excellent organizational skills, be one step ahead
